1. Who we are

VERIMTREX is a brand of STROMS LEGACY PRIVATE LIMITED (CIN U78300KA2024PTC192706), registered at No. 166, Arekere MICO Layout, 2nd Stage, Arekere, Bengaluru, Karnataka 560076, India ("VERIMTREX", "we", "us"). We provide background verification (BGV) services, online verification journeys and verification APIs to banks, financial institutions, employers and other organizations.

2. Our role

For website enquiries and our own business communications, VERIMTREX decides why and how personal data is used. For verification work, the organization that requests the verification (our "client") generally decides the purpose, and VERIMTREX processes the data on the client's instructions and under our agreement with that client. Where a request concerns verification data, we may route it to the relevant client.

3. Information we collect

• Website enquiries: name, organization, work email, phone number, organization type, service interest and the message you submit.
• Client portal accounts: name, work email, organization, login activity and support tickets.
• Verification data: details and documents supplied by or about the person being verified, such as name, date of birth, contact and address details, identity numbers and documents (for example PAN, driving licence, and Aadhaar-related information where applicable), employment and education records, salary slips, bank statements and consent records.
• API usage data: request and response records, timestamps, credentials metadata and usage logs for the checks you run.
• Technical data: IP address, browser type and basic logs needed to run and protect the site.

4. How we use information

• To respond to enquiries and manage our business relationship.
• To perform the verification checks requested by a client and prepare reports.
• To provide, secure, support and bill the portal, journeys and APIs.
• To keep records of consent, case activity and audit history.
• To meet legal, regulatory and contractual obligations, and to prevent fraud and misuse.

5. Consent

Verification of an individual is carried out with that person's consent or another basis permitted by law, as arranged by our client. Our online journeys record the consent given, with the case, time and consent version. You may withdraw consent for future processing by contacting us or the organization that requested your verification. Withdrawal does not affect processing already completed, and some records may need to be retained as required by law.

6. Aadhaar and sensitive identifiers

Where Aadhaar-related verification is used, it is routed through authorized providers and handled in line with applicable law. Never share an OTP with VERIMTREX staff. We collect identity numbers and documents only for the verification scope requested.

7. Who we share information with

• The client that requested the verification, for the stated verification purpose.
• Verification and data providers, including authorized identity and data sources and, where applicable, government-linked services, to carry out the checks.
• Service providers such as hosting, storage and email delivery, who act on our instructions.
• Authorities where required by law or valid legal process.

We do not sell personal data.

8. Retention

We keep personal data only as long as needed for the purpose it was collected, as agreed with the client, or as required by law. After that, data is deleted or anonymized. Retention periods for verification records are set in the engagement with each client.

9. Security

We use reasonable safeguards to protect personal data, including role-based access, authenticated sessions, controlled document access and encrypted connections. No system is completely secure, and we do not claim any certification or audit attestation that we have not obtained. See our Security & Compliance page.

10. Your rights

Subject to applicable law, you may ask to access the personal data we hold about you, request correction or updating, request erasure, withdraw consent, or raise a grievance. To make a request, email Sales@verimtrex.in with the subject "Privacy Request" and enough detail for us to identify you. We may need to verify your identity before acting.

11. Cookies

We use only essential cookies, such as the secure session cookie that keeps you signed in to the client portal. We do not use advertising cookies on this site.

12. Children

Our services are intended for organizations and adults. We do not knowingly collect data from children, except where lawfully required for a verification a client has requested.

13. Changes to this policy

We may update this policy from time to time. The "Last updated" date above shows the latest version.
